Accountant & Administrative Officer

Position: Accountant & Administrative Officer (Finance, Administration & Compliance Lead)

The Tropical Research and Conservation Centre (TRACC) is seeking a highly organized and detail-oriented Accountant & Administrative Officer to manage our financial operations, administrative systems, HR processes, and compliance obligations. This essential role ensures the smooth and transparent functioning of TRACC’s conservation programs and on-site operations at Pom Pom Island.

The ideal candidate is a candidate that has full working rights for Malaysia. (strong preference for Sabahan) with solid experience in accounting, administration, and HR, but loves the outdoors and would relish the opportunity to work in a dynamic, mission-driven island environment.

Key Responsibilities

Financial Management

● Manage multiple bank accounts

● Handle invoicing and e-invoicing workflows

● Process payroll and maintain accurate staff salary records

● Oversee tax filings, statutory compliance, and financial deadlines

● Manage petty cash and reimbursement systems

● Prepare monthly, quarterly and yearly financial reports

● Assist the Managing Director with budgeting, monitoring, and forecasting

● Conduct project accounting Administrative & Compliance

● Maintain TRACC’s company filing system, digital records, and document archives

● Manage SOPs, company documentation, and internal policy updates

● Handle government-related matters such as tax, regulatory, and immigration processes

● Assist with company secretary coordination

● Manage operational licences, and regulatory renewals

Permits & HR Management

● Process work permits, visa-related documents, and staff compliance

● Oversee staff administration: schedules, leave, day-off records, HR files

● Draft and manage employment contracts

Procurement & Systems

● Oversee purchases, procurement workflows, and vendor coordination

● Manage and update TRACC’s Customer Relationship Management system

● Provide administrative support to field teams, management, and island operations

Reporting Structure

Reports directly to the General Manager and the Managing Director.

Required Qualifications & Experience

Education

● Bachelor’s Degree, preferably in Accounting, Business Administration, Finance, or a related discipline

Experience

● Minimum 3 years of experience in accounts, administration, HR, or a related function

● Strong experience with multi-account financial management and reporting

● Familiarity with compliance, payroll, and administrative systems

Languages

● Bahasa Malaysia: Excellent written and spoken

● English: Excellent written and spoken

Technical Skills

● Proficient with Microsoft Office tools (Outlook, Teams, Word, Excel,

PowerPoint)

● Comfortable with accounting software and Costumer relation management systems

Other Requirements

● Candidates have full working rights for Malaysia (strong preference for Sabahan)

● Willing to relocate to Pom Pom Island, Sabah

● Highly organized, reliable, and detail-oriented

● Strong communication and coordination abilities

● Professional integrity and confidentiality

● Ability to swim 200m unaided

● Comfortable with outdoor lifestyle, independent and self motivated

● Willingness to learn how to dive (courses and support available)

Work Environment

● This position is on-site, based on Pom Pom Island

● Remote work is not applicable, especially for the first 6–12 months

● Work closely with multidisciplinary field teams, dive staff, and management

● Ability to participate in TRACC’s conservation/diving activities
