Job Title: Remote Account Operations Coordinator (Asana Expert) (100% Work From Home) 

 
Location: Remote from Latin America
 
Position Type: Full Time
  
Salary: $1,500 – $2,000 USD/month (Final monthly retainer calibrated to agency operations experience and technical Asana mastery).
  
Schedule: Full-Time, Monday – Friday, 7:00 AM – 3:00 PM US Pacific Standard Time (PST). Saturday and Sunday off. High reliability and consistent presence during these core hours are required for seamless client-call synchronization.

The Role
 
Our Client is seeking an ultra-organized, systems-minded Account Operations Coordinator to serve as the operational and administrative backbone of their account management department. Please note: This is not a passive task-entry assistant role. The successful candidate must be a true finisher—someone who actively pushes projects across the finish line, anticipates the needs of account managers before they arise, and keeps a complex multi-client agency engine running with flawless accuracy. Working in close daily support of the account management team, this individual will own the administrative lifecycle of client relationships, ensuring no detail, metric, or task ever falls through the cracks.
 
Key Responsabilities
 
 

Advanced Asana Governance & Project Tracking

 

  • Serves as the agency’s central Asana system architect, structural guardian, and power user—maintaining pristine workspace hygiene, building templates, designing workflow automations, and keeping team-wide tasks clean and current.

  • Converts client commitments and meeting outcomes into highly detailed, properly assigned, dated, and cross-referenced Asana tasks.

  • Tracks every assigned deliverable aggressively to completion, relentlessly following up with internal teams to resolve bottlenecks before they turn into project delays.

 

Meeting Synthesis & Client Communications Support

 

  • Attends high-impact client calls, serving as the silent administrative anchor who captures every technical action item, target deadline, and strategic commitment.

  • Drafts professional, client-ready post-call follow-up emails within a strict two-hour window of each meeting, prepped for the account manager’s immediate review and dispatch.

  • Prepares clean, client-facing summaries and agendas, acting as a proactive partner to the account management division.

 

Data Preparation & Platform Synchronization

 

  • Aggregates, validates, and organizes key marketing metrics (ad spend, performance indicators, campaign trends, and historic comparisons) ahead of scheduled client calls.

  • Navigates customer pipelines and operations interfaces within GoHighLevel (GHL) to ensure backend client records match live project tracking data.

  • Manages shared calendars, documentation hubs, and communication flows across the Google Suite (Calendar, Docs, Sheets, Gmail).

 
Required Qualifications
 
  • Agency Operations Experience: 2+ years of verified professional experience operating as an Executive Assistant, Project Coordinator, or Account Assistant, ideally supporting a high-volume, fast-moving marketing agency.

  • Structural Asana Mastery: Deep, non-negotiable, expert-level proficiency inside Asana. The candidate must think natively in Asana, possessing direct experience building templates, managing complex workspaces, and utilizing advanced platform automations.

  • Tech Stack Literacy: Solid hands-on experience navigating GoHighLevel (GHL) and the entire Google Workspace ecosystem (Calendar, Gmail, Drive, Sheets).

  • Outstanding Written English: Exceptional written communication mechanics. The candidate must be capable of drafting highly polished, persuasive, and professional client-facing emails with zero guidance.

  • Proactive "Finisher" Mindset: A relentless attention to detail and a self-driven project management instinct that thrives on organization, spots blockers early, and refuses to let tasks drift.

  • Workplace Infrastructure: Ownership of a quiet, private, and distraction-free remote home office, a modern computer setup optimized for active multitasking across browser tabs, and a stable, high-speed internet connection with power redundancies.

 
Preferred Qualifications
 
  • Basic understanding of digital marketing terminology, ad spend metrics, and campaign KPIs (ROAS, CPC, CTR, etc.).

  • Prior experience coordinating multi-client schedules across different North American time zones.
